2. Plan the minutes of your day
(Time management) :
The best possible starting point
is to spend 10 minutes in the evening planning your next day. You can use a
tool like Google Calendar or digital planner or daily diary to schedule your
workouts and other activities, to make sure that you have not overlooked
anything important.
You need to know how
much time you have in a given day and how much of it you’re going to need to
complete every activity. Once you have an understanding of what you need to do,
you can focus on preparation. This means things like setting the alarm clock,
planning what you’re going to do first, and prioritize the work.
Planning is the key to
effective time management. It’s hard to feel organized and on top of things if
you’re unprepared. Having a clear plan for your day helps you make the most of
your time and actually accomplish the important things in life. If you
feel like there aren’t enough hours in the day, keep on reading to find out the
simple way I create my schedule to help with daily time-management.
The best part of planning the day is to prioritize the topic, considering the
values it is carrying. If a topic has nothing to do about incurring
losses or alternatives are available, then it will not have more attention
throughout the day.
CREATE A DAILY
PLAN :
here’s what you should include in
my daily plan:
Appointments: These are meetings, client calls, Conference call or other appointments that you have to plan your day around.
Self-Care Time: you should make sure to schedule a self-care practice (yoga, meditation, walk) into your day.
Top Three Priorities:
Take three projects of all in priorities that you want to accomplish or make
progress on.
work in progress
(WIP) Report : When there is major projects are under process
and ignoring them may impact business growth, we should keep a periodical
review on them.
3. Start the day with 10 minutes of meditation.
The morning meditation:
Find a place that will be your
sacred space for meditation.
Choose a daily time.
Wear comfortable clothes,
especially cotton loose cloth.
Sit comfortably on the mat.
Set a timer.
Always start your meditation
practice with 5 to 7 long and slow deep breaths so you can experience start
releasing tension.
If you focus on the benefits that meditation can give you instead of focusing on the process of meditation itself, then you’re doomed to failure.
We would think of meditation as a gift you give yourself every day after few days. Because even if you just sit there quietly for five minutes, you’ll feel a lot calmer afterwards. We would like meditation because it grounds us. It forces us to relax, to focus on what’s important and to be grateful for what we have. We would always feel elated or extremely happy, excited and full of positive energy afterwards.
But starting your day with a few minutes of meditation has a powerful, positive impact on how the rest of your day is going to go. That’s why so many people like to do meditation in the morning.
Meditating means :
Reduces stress and
anxiety
Relaxes the nervous system
Boosts immunity
Balances emotions
Lowers blood pressure
Increases creativity
Lets you understand your true
self
Helps with concentration and
focus
Provides peace of mind
Creates a sense of calm
Allows you to live in the present
Release blood pressure.
Starting your morning
with meditation is a great way to start the day on the right foot. Morning
meditation can help you energize or boost energies, strengthen power in the
body for the whole day, or even help you find peace before a busy or stressful
day.
4. Be a reader :
An ideal part of routine habits for successful people is reading news papers, magzines, articles etc., The Berkshire Hathaway magnate reportedly spends five to six hours a day reading five different newspapers. "That's how knowledge works," he recently told an investment class at Columbia University. "It builds up, like compound interest. All of you can do it, but I guarantee not many of you will do it."
The former Microsoft CEO has attested to reading 50 books a year, or roughly one book a week.
The more you read and learn, the easier it becomes
to retain information. Successful people don’t prescribe to Homer Simpson’s
belief that learning something new pushes something old out. They simply
continue to learn, and commit an incredible expanse of knowledge to memory,
sometimes without even realising it.
Even the most successful people need to tune out the world every once in a while. But this doesn’t mean they turn their minds off completely. There is nothing wrong with reading a “trashy magazine” or graphic novel to unwind. Reading just about anything is more beneficial than watching television or wasting every night at a bar or movie theatre.
Success, after all, requires not just luck and skill, but also a certain mind set. If you’re distracted, you won’t be able to reach the goals needed to get where you want to be—whether that means starting your own company or excelling at what you already do. If you want to be successful, read the stories or articles of successful people, you will get the clues for making your own roadways of success.
Many famously wealthy and successful people have shared some of the rituals they practice to stay on the right track. We rounded up some of their habits you might want to pick up.
5. Spend time alone in the morning to set priorities for the day:
And once you finally reach your workplace, sit down, relax and enjoy the day! Preparing a clear list of ambitious but realistic “To Does” is the only way to successfully manage your 24 hours ensuring little level of stress and high levels of performance. It will clearly exercise your willpower that will have to choose the order of your priorities on the basis of importance. There is difference between successful people and ordinary people that successful people are extra-ordinary in planning the business growth, while ordinary people don’t.
Every minute spent in planning saves 10 minutes in execution. When you write a list you have a track to run on. Writing a list clarifies your thinking and goals. Writing down a list forces you to think at a higher level. If you have 10 items on your list of things to do, two will be the more important than all of the other items put together. It doesn’t mean that all other items as compare to 10 items, will be ignored completely, but it will have less importance. All success in life comes from project completion and living a life of good habits will help you complete more projects.
If you start working for the day without setting priorities, you will get many incomplete works all together and you will realize that you spent undue importance to some unimportant works. It’s easy to get off track when you don’t have a plan. Without planning what your day will look like, you wake up not knowing what you want to do or accomplish. Successful people spend a little time before giving themselves clear goals for the day.
When you’re planning to drive your car, you first got to establish a destination. If you’re driving the car with no purpose, then you will reach no destination. Planning your day in the early morning helps you establish the priorities in your life, allows you to prevent distractions, and keeps your entire day productive.
6. Actively remove distractions:
Distractions are possible only due to a clear
priorities to the work are not set. So, start your day by setting clear
priorities for yourself and then make a conscientious effort to minimize
distractions. With leadership comes immense responsibility where the stress of
not having enough hours in the day can become burdensome. With a few
productivity hacks you can get creative to minimize distractions and maximize
production.
The first step would be to identify what your most common distractions are. List out such distractions and action to be taken, to avoid distractions. If you are working in an office cubicle, the most likely disturbance is likely a social distraction. If you engage easily in gossip, you may find yourself spending a good portion of the day just chatting. Sometimes, most of the office culture is indulged in chatting on personal or family problems. Finding out your distractions is equally important when you’re working home. You may not have the problem of yapping co-workers, but your family members can be a huge distraction. Similarly, if they watch TV or play games in the same room as you are, it’s nearly impossible for you to concentrate entirely. You need to measure how you spend your time so that you know what your most common distractions are. So, you are supposed to identify solutions to each and every distractions.
We can categorize distractions into two types 1. LOG THE EXTERNAL DISTRACTIONS and 2. LOG THE INTERNAL DISTRACTIONS
This means you need to keep a log of every distraction you have during the day in study of external distractions. You may have an idea how your work day typically goes, but without detailed logging, you really can’t be sure. We tend to underestimate the time we engage in distracting activities.
So use pen and paper, or computer notebook to log your work, breaks, chat and anything else you engage during your work day. Remember to add in timestamps so you know how long you’ve spent in each activity.
Log the following:
a) Place
b) Reason for distraction
c) Time of distraction
2. LOG THE INTERNAL DISTRACTIONS
When you are working, and you get interrupted
intermittently thoughts from your mind all the time. What to have for dinner?
What are items scheduled the meeting? The idea is to
write every distracting thought you have which requires some type of action.
Getting up early in the Morning :
Getting up early in the morning has lots of benefits. You get the chance to be available and present before demands are made of you, and before you need to start working on your goals. Getting up early in the morning, makes your energy afresh and it strengthens your ability and fresh calibre to accept challenges. This can improve your mood, as you feel in control of your life. If you don’t get the opportunity to work on your chosen tasks first thing, take matters into your own hands; do the work from home or come into work early. Being successful is rarely about being completely independent – successful people are able to work with others, delegate, compromise and accept other ideas.
High achievers are always signifies with certain qualities from regular people. If you get up every day and just coast wherever events and situations take you, you’re going to end up somewhere other than the ideal place. If you get up every day with certain plan, via daily habits means you have burning desire to success in life.
Discipline is probably
the one trait or distinguishing quality most associated with achievement. It's
because accomplishing great things involves consistently doing the right things
over and over again, even when it's hard, and it indicates that even after a
painful task, your burning desire inspire you to continue the task.
7. Read something for pleasure.
Reading for pleasure is not just
a leisure activity; it's a powerful tool for personal development, intellectual
stimulation and enrichment, and emotional well-being. It enables you to be more
conversant with others.
The benefits of reading for
pleasure extend beyond improving educational outcomes. It can reduce stress,
improve empathy and nurture wider.
Following are several main areas
of the benefits to reading for pleasure :
1. Reading attainment and writing
ability,
2. Text comprehension.
3. Positive reading habits,
4. Greater self-confidence as a
reader,
5. improve basic knowledge.
There’s nothing more comforting
than curling up with a good book. When you read, you welcome new adventures,
lessons and perspectives. In fact, time spent with your nose in a book can help
your career. Find out the many benefits of reading and how it can help you
succeed in business.
The benefits and importance of
reading have been championed for years. It’s been a topic of research for quite
some time and continues to be studied by business professionals, communication
experts, linguists and others.
Research has shown how reading
benefits cognitive function, especially in older adults.
“Reading is a very necessary
habit for every successful businessperson,” said Ellen Parry Lewis, a fiction
author. “It broadens your mind, helps with your written and verbal
communication skills, and gives you a certain level of understanding and
empathy.”
Reading about different types of
people and their adversities helps you understand others better and fosters
empathy, which is important in your business life, regardless of your field.
That might sound silly, but the
concept does have real-world applications. Business owners can more easily
reach their target customers if they read up on what makes them unique.
“Regardless of what kind of
stories you like to read, fiction or nonfiction, reading enables you to make
sense of your life, the lives of others, your relationships and the world at
large,”
8. Make the most of your commute.
The dreaded work commute. It’s something we all have to put up with, and in an overpopulated city like Hong Kong, the sardines-life is that much more real. Public transportation may seem grim, but taking advantage of it actually allows you the gift of time - something successful people value more than anything else.
Whether you’re stuck between two people who have doused themselves in perfume on the MTR, or taking a rickety mini-bus across the harbour, there’s always room to make your commute more productive, regardless of how stressful it is. In fact, taking yourself away from the lack of personal space can actually make your commute more bearable.
Many choose to spend these hours every day with earphones plugged in, listening to the same playlists on loop, or more recently, catching up with their favourite shows, or watching a movie. It makes sense – you have a lot of time on your hands to kill, and these options are easy, engaging and require minimal effort. However, capitalising on this time to add value to you career, skills and personal growth takes effort, planning and will. We bring you some ways in which you can use the time effectively. Although people using the public transport have the edge here – with multiple options, even those who drive to work can do things other than listening to the adverts on the radio.
Learn: This one’s a no-brainer. Make a list of the things you’ve always wanted to learn: a new language, world economics, philosophy, history, international relations, sales and marketing, astronomy, wines, ANY- thing. With the massive number of free courses available online, there really is no excuse for you to not learn the things you wanted to. Listening to Podcasts – a severely underexplored territory in India - is one of the best ways to learn about virtually anything, and can be done even while driving. The simplest step you can take is to open the pages you want to read on your phone/laptop and revisit them while commuting. If you haven’t been able to make an attempt to know more about the one thing you think you like by now, maybe, it is time to reconsider your interests, and explore new ones.
Catch-up on the Reading List: Do you find yourself making excuses about how your reading habit has slowly bowed down to the pressure of your job? If you really want to pick up the book again, the time while travelling to work couldn’t be more opportune. Of course getting used to reading books while standing, or in crowded trains will take time, but for those of you who do not want to strain your eye, audio books are easily available over the internet – and make for a good companion while you’re stuck in a serpentine traffic jam. If you are one of those, who assume misdirected pride in not reading any books, surely, a newspaper, magazine, or journal will catch your eye? You really have no excuse to not be clued in on what is happening around you now
Reading emails and answering all
emails are a daily job of successful people. If you nevertheless have to send
an email, put as much value in as you can. Successful people have a habit of
sharing of the important things they are up to. Your email exchange includes
almost all your social ties and contacts. By including small “campaigns” to
your email signature you can keep them up to date with what’s happening in your
company – be it a new product, a sale, an upcoming event. Add a link to a
landing page that contains all details and that’s it. Your clients will get the
information needed but also the contact person related to what you promoted and
voilà, you avoided more email. Another
tip for more efficient teamwork: develop a practice in your team to set a
response deadline in your e-mails (most preferably directly in the subject). With
emails that take more time to respond to, you will easily prioritize them.
While it may seem easy to squeeze in just one more email during off-hours, make it a habit of saying no. There will always be emails to answer and people who claim their messages are urgent or important. Drawing that line means that you’ll be more productive when you actually need to get down to business. So, successful people do not keep emails unread, as like as monitoring the performance schedule.

===
When considering what causes
"balls to stop rolling" metaphorically, in the context of momentum,
progress, or success, several factors can bring things to a halt. These may
stem from personal, professional, or external challenges. Here's an analysis:
1. Lack of Clear Goals

12. Successful People avoid meetings and don't
allow briefings:
Many successful
people avoid unnecessary meetings and minimize lengthy briefings to focus on
what truly matters. This practice stems from their commitment to time
management, efficiency, and prioritization. Here’s why and how they manage
this:
Why Successful
People Avoid Meetings and Briefings
1. Time is Valuable
a) Meetings can consume
significant time without guaranteeing productive outcomes.
b) Successful people
prioritize high-impact activities over routine discussions.
2. Meetings Are Often
Inefficient
a) Many meetings lack
clear objectives, leading to wasted time on irrelevant discussions.
b) Long briefings can
dilute focus and create information overload.
3. Preference for
Action Over Talk
a) They believe in
taking actionable steps rather than endlessly discussing
possibilities.
b) A quick decision or a
direct conversation often resolves issues more effectively than a formal
meeting.
4. Encourage
Independent Problem-Solving
a) They empower their
teams to make decisions, reducing the need for constant updates.
b) Trusting others
fosters accountability and reduces dependency on endless briefings.
5. Focus on
Asynchronous Communication
a) Tools like email,
shared documents, and project management software allow for updates without
requiring everyone to be in the same room.
b) Asynchronous
communication respects everyone’s schedule.
How They Manage
Meetings and Briefings ?
1. Set Clear Agendas
a) They insist on a
well-defined purpose and expected outcomes for every meeting.
b) Meetings without a
clear goal are often declined or postponed.
2. Limit Attendees
a) Only essential
participants are invited to keep discussions focused and efficient.
b) Jeff Bezos famously
follows the “two-pizza rule,” ensuring meetings are small enough to be fed with
two pizzas.
3. Keep Meetings
Short
a) They enforce strict
time limits and avoid unnecessary tangents.
b) Stand-up meetings or
time-boxed sessions are common strategies.
4. Use Written
Communication
a. Written updates are preferred
over lengthy briefings, as they allow for faster consumption and better
organization of information.
b. Bezos at Amazon
required teams to prepare six-page memos to clarify thoughts before
discussions.
5. Delegate
Decision-Making
a. They empower team
members to handle smaller decisions, reserving their attention for strategic
issues.
b. This delegation
reduces the need for frequent meetings or briefings.
6. Prioritize Results
a. Successful people
focus on outcomes rather than the process, ensuring discussions are oriented
toward solving problems.
b. Elon Musk encourages
avoiding meetings unless they are absolutely necessary for progress.
Examples of
Successful People’s Practices :
a. Elon Musk: He
encourages walking out of meetings that don’t add value and avoids large or
frequent meetings.
b. Jeff Bezos: Limits
meeting sizes and requires pre-read memos for efficient
decision-making.
c. Mark Cuban: Prefers
direct communication via email and avoids formal meetings unless critical.
---
How You Can
Adopt This Approach:
1. Audit Your
Calendar: Identify meetings that can be eliminated or streamlined.
2. Encourage
Alternatives: Use concise emails, shared documents, or quick check-ins instead
of scheduling meetings.
3. Be Purposeful:
Only attend or schedule meetings with a clear objective and action
plan.
4. Empower Teams:
Delegate authority and encourage independent decision-making.
5. Set Boundaries:
Politely decline unnecessary invitations and guard your time.
Successful people
avoid unnecessary meetings at work by using strategic approaches to maximize
productivity, maintain focus, and ensure that their time is spent on
high-priority tasks. Here’s how they do it:
1. Question the
Need for the Meeting
a. Ask If It’s
Necessary: They assess whether the issue can be resolved through email, a quick
call, or a shared document instead of a formal meeting.
b. Push for
Alternatives: Tools like Slack, project management platforms (e.g., Trello,
Asana), or written briefs often replace traditional meetings.
---
2. Set Clear
Criteria for Meetings
a. Only for
Decision-Making: They attend meetings where critical decisions need their input
and avoid sessions focused solely on updates.
b. Require Agendas: They
insist on a clear agenda and objective before agreeing to attend. If a meeting
lacks purpose, they decline.
-
3. Minimize
Meeting Time
a. Short and Time-Boxed:
Successful people keep meetings concise, often scheduling 15-30 minutes instead
of an hour.
b. Stand-Up Meetings:
They encourage stand-up formats to keep discussions focused and
brief.
---
4. Limit
Attendees
a. Smaller Groups: They
avoid meetings with unnecessary participants. Jeff Bezos’s “two-pizza rule”
ensures meetings are small enough to be productive.
b. Send Representatives:
Instead of attending personally, they delegate someone who can represent their
perspective.
---
5. Leverage
Technology

encourages walking out of meetings if they stop being productive or relevant to
the attendee.
---
9. Make
Meetings Action-Oriented
a. Focus on Solutions:
They ensure meetings revolve around problem-solving rather than discussions
without actionable outcomes.
b. End with Clear Next
Steps: Each meeting concludes with decisions, action items, and accountability.

No-Meeting Culture
a. Establish Policies:
Successful leaders may implement “no-meeting days” or limit meeting durations
across their organizations.
b. Train Teams:
Encourage team members to adopt communication methods that minimize meetings
and focus on efficiency.
Successful people often
block out their calendars completely to prioritize their time effectively,
focus on important tasks, and maintain a healthy work-life balance. Here’s how
they approach blocking out their calendars:
1. Prioritize
Deep Work
a. Time for Focused
Work: They dedicate uninterrupted blocks of time for deep work, which requires
high concentration and is essential for productivity.

Successful people set aside time for strategic thinking, problem-solving, and
reflection.
b. Review Goals:
Regularly checking in on long-term goals allows them to adjust strategies and
ensure they stay on track.
3. Schedule
Time for High-Priority Tasks
a. Work on Critical
Projects: They block out time for tasks that directly contribute to their
success, such as product development, new initiatives, or key
meetings.
b. Tackle Big
Challenges: Instead of allowing day-to-day tasks to fill their schedule, they
ensure important projects get the focus they need.
4. Time for
Personal Development
a. Invest in Learning:
They block off time for reading, learning new skills, and keeping up with
industry trends.

Buffet famously spends 80% of his day reading and learning.
---
5. Block Time
for Meetings and Communication
a)
Scheduled Interactions: They avoid spontaneous
meetings by blocking out specific times for checking email, phone calls, or
team meetings.
b)
Optimize Meeting Schedules: Meetings are kept
short, scheduled in clusters, and minimized when possible.
c)
Example: Tim Cook, CEO of Apple, is known for his
structured approach to meetings and focuses on key interactions rather than
attending every meeting.

Matters: Successful people delegate administrative tasks, meetings, or
low-priority activities to free up more time for high-impact work.
b. Use Technology: They
automate routine processes and communications to reduce the mental load and
improve efficiency.

10. Reflect and
Adjust Regularly
a. Weekly Planning:
Successful people often take time at the end of the week to review their
calendar, see what worked, and adjust their strategy.
b. Make Adjustments:
This helps them keep their focus on long-term priorities while staying
adaptable to changes.
How to Block
Out Your Calendar Like Successful People
1. Schedule “No
Meeting” Blocks: Designate certain times or days for deep work and personal
time.
2. Batch Tasks: Group
similar tasks (like meetings, calls, or admin work) together in one part of the
day to reduce cognitive switching costs.
3. Set Boundaries: Be
proactive in protecting your time and learn to say no to non-essential meetings
or requests.
4. Review and Adjust:
At the end of each week, evaluate your calendar for unnecessary activities or
missed opportunities, and adjust accordingly.
5. Use Tools:
Leverage calendar apps that allow you to block out time (like Google Calendar

an anchor for meaningful connection, personal grounding, and well-being. By
intentionally creating a tech-free zone, they ensure the focus remains on
quality interaction, shared values, and fostering deeper relationships. Here's
why this practice is central to their lives:
Why Successful People
Prioritize Family Dinners Without Electronics

a. Undivided Attention:
Removing electronics ensures that every family member is fully present,
encouraging meaningful conversations.

These moments help nurture relationships that are often strained by busy
schedules or digital distractions.

emphasizes family time and avoids interruptions from phones during meals.

Tech-free dinners create an environment where everyone can focus on the here
and now.

ritual allows families to slow down and appreciate each other’s company without
outside interference.

away from screens helps alleviate the mental fatigue and overstimulation caused
by constant notifications and media.
b. Quality Over
Quantity: Families get more out of a focused 30-minute dinner than hours spent
passively watching TV together.
5. To Reaffirm Priorities
a. Family First: By
banning electronics, successful people emphasize the importance of relationships
over distractions like emails or social media.
b. Reconnecting with
Values: These dinners serve as a reminder of their commitment to loved ones
amidst their busy lives.
